Job Profile for Executive Assistant:

Provide a high level and highly skilled administrative and secretarial/clerical support to the Executive Services Unit or to other Executive/General Management, as required.

Organise office operations and procedures for the efficient flow of work within the Executive Services Unit.

Establish and maintain effective working relations with a wide spectrum of employees, officials and the general public.

Open, read and prioritise incoming mail. Handle routine requests on own initiative.

Compose and type general correspondence as required by the Unit/Supervisor.

Provide typing services to the manager, and to subordinates and visitors as required.

Maintain appointment calendar, resolves schedule conflicts, and schedules meetings as directed.

Coordinate planning and logistics for business trips, conferences and large meetings, ensuring that all arrangements are complete and of acceptable standards, as required.

Receive visitors and phone calls, tactfully determines the nature of the call, and refers to appropriate individual or handles the business personally.

Implement procedures for schedules and coordinates the processing and maintenance of record keeping and filing systems.

Handle strictly confidential information in the most ethical/confidential manner.

Check deadlines on incoming requests to ensure office work continues to flow smoothly.

Verify invoices, process accounts and calculate and submit expense reports for the unit or as required.

Perform other administrative duties and support duties as directed by the Supervisor Executive Services.

Negotiate rates with hotels as required.

Research on Restaurants & Hotels and handle events.

Research on gift selections & material for Executive & Corporate levels.
Candidate Profile for Executive Assistant:

3-5 years of solid secretarial/administrative experience in supporting high-level managers, directors or executives is a must.

High school diploma (GCSE’s, HAVO or equivalent).

Must be able to communicate and comprehend accurately, clearly and concisely in English at a business level. French and / or Italian are an advantage.

A team player with excellent planning and organisational skills, efficient work ability, flexible attitude, and attention to detail.

The ability to juggle multiple tasks simultaneously and ability to exercise initiative and judgment, in the performance of complex, confidential and difficult duties.

Must possess strong work ethic and be able to adhere to company work hours, policies and standard business etiquette.

Ability to work on strict and short deadlines; able to set priorities and deal effectively with shifting priorities.

Fast and accurate typing ability.

Proficient in MS Word, Excel, Access and PowerPoint in the Windows environment.
